Your welcome message from Headcount Buddy
When you join a team that uses Headcount Buddy, you’ll get a text message welcoming you. Here’s what to know about that message — when it arrives, what it says, and when it won’t show up.
When the message arrives
The welcome lands once two things are true at the same time: you’re on the team’s roster and you’ve texted in to opt in to messages.
Whichever of those happens second is what triggers it.
That means:
- If your organizer adds you before you’ve ever texted in, you won’t get a message right away. The welcome waits. The moment you text in and opt in, it goes out.
- If you’ve already opted in (because you’re on another team that uses Headcount Buddy), the welcome goes out as soon as your organizer adds you to the new team.
When the message does NOT arrive
There are a few situations where you won’t receive one:
- You’ve already gotten it for this team. The welcome is sent once per team, ever. If you opt out and later opt back in to the same team, it won’t send again.
- The team’s subscription isn’t active. Headcount Buddy only sends messages for teams with an active account.
What the message says
The welcome tells you which team you’re joining and gives you a short orientation to how Headcount Buddy works — what to expect when it texts you, and how to reply.
What it says depends on whether you’re new to Headcount Buddy entirely:
- If this is your first team, you get the full orientation — a friendly introduction to how the assistant works and what kinds of messages you’ll see.
- If you’re already on other teams, the welcome is shorter. You don’t need the full rundown again, so you just get a brief note that you’ve been added to this team.
If your team is connected to a partner platform, the message will also explain how Headcount Buddy fits alongside it — so you know what comes from where.
Here’s an example of what the message might look like for someone brand new:
Hi! You’ve been added to the Riverside Tennis Scrimmage group on Headcount Buddy. I’m the team’s assistant — I’ll text you when there’s an upcoming game to check if you’re in or out, and you can just reply naturally. No app needed. Talk soon!
And for someone who’s already on another team:
Hi! You’ve been added to Riverside Tennis Scrimmage on Headcount Buddy. See you out there!
What the message is not
The welcome is purely an introduction. It doesn’t:
- List upcoming events or games
- Replay any RSVP requests you may have missed while you were being added
- Ask you to do or confirm anything
You’ll hear from Headcount Buddy when there’s actually something coming up that needs your attention. Until then, you’re all set.
