Getting your team or group on board

We’re in a hands-on, limited alpha right now — which means when you start with Headcount Buddy, a real person helps you get set up. No self-serve signup flow, no confusing onboarding wizard. You reach out, we talk through your situation together, and we get your group running.


Who this is for

Headcount Buddy is built for anyone who regularly wrangles a sports group’s logistics — figuring out who’s playing, sending reminders, and keeping a headcount. That includes:

  • Formal team organizers — think USTA-style competitive teams where eligibility and rosters matter
  • Pickup and scrimmage organizers — the person who keeps Saturday-morning tennis alive, herds a club hitting group, or runs weekly doubles

Both types are fully welcome. The experience is tailored to your situation: a competitive team setup feels different from a casual pickup group, and we reflect that in how the assistant communicates with you and your players.


Sports we support today

We’re starting focused:

  • Tennis — our primary sport right now, for both competitive teams and pickup groups
  • Softball, baseball, pickleball, and other sports — if that’s you, reach out anyway and we’ll talk through what’s possible

What getting started looks like

Here’s the short version of how it goes:

You: (email us at help@headcountbuddy.com) “Hey, I run a USTA doubles team — about 10 players. Interested in trying Headcount Buddy.”

Us: “Great! Let’s get you set up. We’ll grab a few details — your sport, whether this is a competitive team or a pickup group, and who your players are — and have you ready to go.”

We handle the setup together. You don’t need to configure anything yourself. Once your group is live, the assistant gets its own number, and your players just receive a text — no app to download, no account to create on their end.


Competitive team or pickup group — what’s the difference?

When we set you up, we’ll ask which fits your situation:

Competitive team — you’re running something like a USTA league team, where there are real eligibility rules, a defined roster, and matches that count. The assistant’s tone and setup reflect that structure.

Pickup / informal group — you’re organizing scrimmages, club gatherings, or casual weekly play. Rosters are fluid, there’s no league enforcement, and the vibe is more relaxed. The assistant matches that energy.
