You didn’t install anything. You didn’t create an account. One day your phone buzzed with a text from a new number — and that’s Headcount Buddy, the assistant your organizer is using to run the team.
Here’s what to expect.
What just happened?
Your organizer set up Headcount Buddy to handle RSVPs, headcount, and team updates for your group. When something comes up — a practice is scheduled, a game is confirmed, or the organizer needs to know if you’re in — the assistant texts you directly.
You just reply. That’s it.
What does a first text look like?
It depends on where things stand when you’re added, but it’ll feel something like this:
Headcount Buddy: Hey! I’m the assistant helping Jordan run the Saturday tennis group. I’ll text you about upcoming games and RSVPs — no app needed, just reply here. You in for this Saturday at 9am at Riverside Courts?
You can reply however feels natural:
You: Yeah, I’ll be there
You: Can’t make it this week, sorry
You: I might be a few minutes late but yes
The assistant understands all of those — you don’t need to reply with a specific word or code.
What if I missed messages before I joined?
If your organizer has turned on catch-up messages, the assistant will send you a short summary of any RSVPs you missed so you’re not starting from zero. You won’t have to scroll through a group chat trying to piece things together.
What can the assistant help me with?
As a player, here’s what you’ll experience:
- RSVP requests — the assistant texts you when the organizer needs a headcount, and you reply yes, no, or somewhere in between
- Schedule updates — if something changes (time, location, cancellation), you’ll hear about it by text
- Team communications — when the organizer has something important to share with the group, the assistant passes it along
You won’t get spammed. If you’ve already responded, the assistant won’t keep asking. And you’ll never be pressured into a strict yes-or-no if your situation is more complicated than that.
Do I need to sign up for anything?
Nope. No app, no login, no account. Your organizer set everything up on their end. You just text back.
Is this a real person texting me?
No — it’s an automated assistant working on your organizer’s behalf. Think of it like a thoughtful helper your organizer has running in the background, so they’re not personally chasing down every RSVP.
What if I have a question or something feels wrong?
